About the position

The Vehicle Operations Support Specialist II at Cox Automotive plays a crucial role in managing account relationships and ensuring the effective operational flow of vehicle sales. This position involves close coordination with accounts to facilitate the sale of vehicles, reviewing work performed, and ensuring timely line-ups for sales. The specialist will be responsible for maintaining effective communication with commercial clients, relaying information regarding vehicle conditions, and obtaining necessary approvals for reconditioning and repairs. In this role, the specialist will coordinate with mechanic shops to ensure timely repairs and will be tasked with updating condition reports and auditing vehicle repair reports. They will also walk vehicles with account representatives, making recommendations for reconditioning to enhance vehicle value. Responding to customer inquiries and providing quality service to resolve issues is a key aspect of the job. The specialist will communicate with Lot Operations and Recon departments to ensure the appropriate movement of vehicles and timely completion of reconditioning tasks. Additionally, the specialist will prepare the sale vehicle run process in coordination with account representatives and administrators, ensuring all necessary documentation and scheduling are in place. They will also work with commercial clients and vendors to manage keys and ensure proper scanning and organization of account vehicles. The role requires a commitment to safety, with active participation in safety activities aligned with Safety Excellence. Other duties may be assigned by management as needed.

Responsibilities

  • Manage account relationships and maintain effective communications to meet customer requirements.
  • Work with commercial clients to relay information regarding vehicle conditions and obtain approvals for reconditioning and repairs.
  • Coordinate work with mechanic shops to ensure timely repairs and communicate progress back to clients.
  • Review and update condition reports; approve and audit vehicle repair reports.
  • Walk vehicles with account representatives and make recommendations for reconditioning to increase vehicle value.
  • Respond to customer inquiries relating to vehicles and provide quality service to resolve problems.
  • Communicate with Lot Operations and Recon departments to ensure appropriate movement of vehicles and timely completion of reconditioning.
  • Prepare sale vehicle run process including run order, scheduling, and notice to customer accounts in coordination with account representatives.
  • Work with commercial clients and key vendors to order and account for keys.
  • Ensure appropriate scanning and organization of account vehicles in collaboration with lot operations and quadrant coordinators.
  • Review vehicles in sale line up, locate missing vehicles, and ensure vehicles are ready for sale in coordination with account representatives.
  • Demonstrate safety commitment by following all safety and health procedures and modeling related behaviors.
  • Perform other duties as assigned by management.

Requirements

  • High School Diploma/GED and 3 years' experience in a related field, or a combination of education and experience such as any level degree/certification beyond a HS diploma/GED in a related discipline, or 5 years' experience in a related field.
  • Effective communication and organization skills are required.
  • Commitment to providing excellent customer service is essential.
  • Ability to stand, walk, reach, talk, and hear; vision abilities required include close, distance, and color vision, depth perception, and ability to adjust focus.
  • Ability to stand for prolonged periods and lift 1-15 pounds; must be able to walk long distances.

Nice-to-haves

  • Prior experience in vehicle reconditioning or general auto body knowledge is helpful.
  • Satisfactory computer skills and the ability to utilize a portable terminal or similar devices are preferred.
