About the position

The Vendor Management Analyst is responsible for overseeing the firm's vendor management program, which includes vendor onboarding, compliance oversight, and annual due diligence. This role requires collaboration with various departments to ensure adherence to policies and promote diverse suppliers. The analyst will also assist in business continuity efforts and manage the vendor management tool, KY3P.

Responsibilities

  • Master the vendor management tool, KY3P, and serve as the primary system administrator.
  • Manage the onboarding workflow for new vendors and existing vendor renewals.
  • Oversee VRO oversight activities including the annual internal vendor assessment process.
  • Manage the annual due diligence questionnaire process for Tier 1 vendors and biennially for Tier 2 vendors.
  • Coordinate VRO reassignments when necessary.
  • Develop materials for annual VRO training sessions to ensure proficiency in responsibilities.
  • Promote diverse supplier efforts through staff awareness and participation in industry organizations.
  • Facilitate the annual review/update of the firm's Vendor Management Policy.
  • Oversee the firm's RFP policy and assist VROs with RFPs, ensuring compliance with Legal Administration.
  • Manage critical documents on the Vendor Management SharePoint site and within KY3P.
  • Prepare quarterly management reports and the annual CRIC vendor management report.
  • Perform governance testing to ensure ongoing data quality.
  • Build positive relationships with VROs and assist with vendor oversight, including selection, negotiation, performance discussions, and terminations.
  • Identify vendor commonalities/operational efficiencies and propose solutions to management.
  • Assist with administration of periodic vendor management projects.
  • Collaborate with Finance, Legal, IT, and other partners in the procurement process.

Requirements

  • Bachelor's Degree or equivalent work experience with direct vendor management systems.
  • Strong project management skills.
  • Ability to work independently with minimal direction in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office products (MS Word, Excel, PowerPoint, and SharePoint).
  • Proclivity to learn new systems and concepts quickly.
