About the position

The Vendor Onboarding Specialist is a temporary role focused on facilitating the onboarding of vendors as part of a transition to a new payment system. This position requires strong organizational, communication, and technical skills to manage vendor data and ensure efficient onboarding processes.

Responsibilities

• Communicate directly with vendors via email and phone to provide information about the new payment system and onboarding process.
• Assist vendors in completing the necessary applications and documentation for onboarding into both our systems and our vendors' systems.
• Manage, update, and track sensitive vendor information in our systems with accuracy and confidentiality.
• Provide technical support and troubleshooting assistance for vendors during the onboarding process.
• Collaborate closely with internal teams, including finance and procurement, to ensure timely and accurate onboarding.
• Monitor progress and follow up with vendors to ensure completion of the onboarding process in a timely manner.
• Utilize Microsoft Office (Excel, Word, Outlook) and Microsoft Teams to manage communications, organize vendor data, and track the onboarding process.
• Prepare regular reports on onboarding status and escalate any issues or delays to the appropriate teams.

Requirements

• Strong organizational skills with a keen attention to detail.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and Microsoft Teams.
• Ability to manage sensitive vendor data with confidentiality and professionalism.
• Strong time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
• Experience working with vendors, including vendor onboarding, is highly preferred.
• Must be authorized to work in the US.

Nice-to-haves

• Previous experience in procurement, vendor management, or payment systems is a plus.
• Familiarity with data management systems or software.
• Ability to work collaboratively in a team environment while being able to take initiative and work independently when needed.
