About the position

The Vendor Onboarding Specialist is responsible for the accurate verification, resolution, and entry of various documents related to vendors, participants, and clients. This role requires timely processing of vendor information, effective communication with stakeholders, and adherence to operational procedures to ensure efficient onboarding of vendors.

Responsibilities

  • Prepare & process vendor information timely and accurately based on plan paperwork and program procedures.
  • Provide courteous and professional service on any inquiries via email, in person, and by phone to co-workers, managers, vendors, participants, ICA, and state programs within a timely manner.
  • Review, analyze, problem solve, and troubleshoot vendor setup inquiries in a timely manner.
  • Process vendor paperwork in a timely manner in FMS3000 and WISITS.
  • Provide direct communication with vendors, ICs, and internal staff to follow up on incomplete paperwork.
  • Meet onboarding production measurements, including manual daily entries for paperwork.
  • Work daily on vendor paperwork, direct deposits, authorization letters, incoming emails, and authorization error reports.
  • Process all vendor record changes & updates in FMS3000 and WISITS.
  • Understand credentialing requirements to streamline vendor setup.
  • Communicate daily with the credentialing team regarding vendor setup completion.
  • Communicate trends and process improvements to management to help develop efficiencies within areas.
  • Practice and promote safety in the workplace.
  • Perform other related duties as assigned.
  • Perform job with a high degree of accuracy.
  • Meet deadlines and prioritize duties effectively in a multi-task environment.
  • Desire to cross-train and learn the work of other departmental staff to provide effective backup when needed.
  • Possess the desire to learn and grow with the job, enhancing responsibility and skill set to a higher level.

Requirements

  • Two year degree or an equivalent combination of training and experience which will provide the necessary knowledge, skills, and abilities.
  • Requires a high level of operational processing experience.
  • Ability to perform each essential duty satisfactorily.

Nice-to-haves

  • Moderate knowledge of PC software and ability to learn new software.
  • Ability to direct the work of volunteers or temporaries as needed.
  • Maintain a high energy level focused on completing departmental and agency goals in a professional and timely manner.
