About the position

The Vendor Operations Specialist at National Business Furniture (NBF) is a pivotal role that focuses on enhancing collaboration between the vendor community and the merchandising team. This position is responsible for ensuring that vendor projects meet their goals and deliverables, while also managing vendor relations and compliance activities. The Specialist will facilitate communication, maintain vendor information, and support various strategic initiatives to drive success within the organization.

Responsibilities

  • Facilitate and maintain current and accurate vendor information, agreements, discounts/pricing, freight terms, and performance metrics.
  • Ensure vendor compliance with government, legal, and corporate activities.
  • Support Merchants with onboarding and offboarding of vendors.
  • Manage Vendor Relations communication channels and provide high levels of support to vendor communications.
  • Own Vendor Scorecards, related reports, and vendor allowance reconciliations.
  • Create and maintain Vendor processes and templates in DocuSign, Mailchimp, and other tools.
  • Maintain and enhance Vendor Handbook, NBF Contacts, Fee Schedules, and compliance documents.
  • Manage Merchandising Team Monday Project Boards to ensure project establishment and communication.
  • Drive project deliverables with Merchandising team members and stakeholders to facilitate Order Intake and Gross Margin Review.
  • Ensure vendors follow product content guidelines and asset standards for optimal customer experience.
  • Support leadership in planning and executing Supplier Days, Sales meetings, and vendor visits.
  • Create plans and itineraries for Tradeshows such as NeoCon and HP Market.
  • Direct vendor price change intake to appropriate category management team members.
  • Maintain Vendor Matrix and ensure all vendor documents and certifications are up to date.
  • Facilitate IT system changes needed to capture Vendor information and certifications.
  • Support sales and design teams with customer support materials for applicable products and vendors.

Requirements

  • 2-3 years of experience in vendor management, category management, buying, purchasing, planning, sales or sales support roles.
  • Intermediate Excel knowledge including formulas, pivot tables, and v-lookups.
  • Previous project management experience.
  • Experience summarizing information into clear reports and presentations using Excel and PowerPoint.
  • Related work experience in data or databases (PIM).

Nice-to-haves

  • Experience with PM software, such as Monday.
  • Bachelor's degree in Marketing, Merchandising, or related fields.
  • Experience negotiating contracts and terms with internal and external parties.
  • Project Management certifications (like PMP or CAPM).
  • Prior roles focused on Business Relationships and Development.
