About the position

The Veterinary Receptionist plays a crucial role in providing excellent customer service and administrative support at West Toledo Animal Hospital and Perrysburg Animal Care. This position is responsible for managing client interactions, performing clerical tasks, and ensuring a welcoming environment for both clients and their pets. The receptionist will work under the direction of the Client Services Supervisor and is essential in making a positive first and last impression on clients.

Responsibilities

  • Perform clerical work with speed and accuracy
  • Use a multiple line telephone
  • Greet clients and understand their needs before they arrive
  • Carry out oral and written directions
  • Handle all forms of payments proficiently
  • Maintain a neat professional appearance
  • Establish a harmonious relationship with clients and staff
  • Manage puppy/kitten procedures and euthanasia procedures
  • Receive clients and establish the purpose of each visit
  • Inform the doctor/technician/assistant of client arrivals
  • Ensure clients fill out registration forms completely
  • Process paperwork and computer programs for arriving clients
  • Escort clients to examination rooms as needed
  • Gather and process new client and patient information
  • Schedule appointments and reservations
  • Maintain computerized files in Cornerstone
  • Receive and process payments for services rendered
  • Maintain the reception area and entrances
  • Complete and mail welcome cards
  • Use Deputy for corporate communication
  • Ensure clients have all medications/products at discharge
  • Check invoices for accuracy
  • Maintain adequate supply of client education material
  • Clean up after pet accidents in the waiting area
  • Reaffirm doctor recommendations at appointment completion
  • Promote in-hospital ancillary services
  • Answer incoming calls promptly
  • Promote practice protocols through client education
  • Process daily deposits and end-of-day tasks
  • Process Care Credit applications and payments
  • Handle health certificates
  • Follow up with overdue clients
  • Market over-the-counter pet accessories
  • Explain invoices in detail to clients
  • Maintain and provide statistical reports to the Client Service Supervisor
  • Send out thank you and welcome cards
  • Explain the value of estimates to clients
  • Monitor CSR staff performance
  • Handle staff issues and report to Practice Manager if necessary
  • Maintain a suitable working environment for clients and employees
  • Order office supplies as needed
  • Maintain retail area in the lobby
  • Create and enforce training protocols
  • Maintain a professional attitude toward others
  • Forward creative ideas to Practice Manager
  • Facilitate CSR concerns with clients and staff
  • Maintain the general flow of clients/patients on shifts
  • Take on additional responsibilities as needed
  • Work with rescue groups on discounts and invoicing
  • Assist Practice Manager with client reports and statistics
  • Handle online reviews

Requirements

  • High School Diploma or GED
  • Minimum of 2 years working as a receptionist or in a similar role
  • Experience in veterinary settings preferred
  • Customer service experience preferred
