About the position
The Veterinary Receptionist serves as the first point of contact for clients at a veterinary practice, responsible for managing client relations both over the phone and in person. This role requires strong organizational and communication skills, as well as the ability to handle stressful situations with compassion. The receptionist plays a crucial role in ensuring a smooth client experience, from scheduling appointments to managing medical records and processing payments.
Responsibilities
- Greet clients and pets warmly and professionally.
- Monitor client flow from check-in to discharge.
- Answer and triage phone calls from clients.
- Check in clients and maintain client records.
- Prepare daily bank deposits and ensure sufficient change in the cash drawer.
- Review all transactions and follow-up lists daily.
- Maintain inventory of food and treats and review grooming logs.
- Promote and advertise all services offered by the practice.
- Handle emergencies and explain delays to clients.
- Receive and record prescription refill requests.
- Ensure timely entry of doctors, technicians, and assistants into exam rooms.
- Transcribe messages from the answering machine and distribute appropriately.
- Call third call reminders every month.
- Ensure medical charts are complete and updated with financial transactions and diagnoses.
Requirements

- Compassion for animals and their owners.
- Experience in customer service or a similar role.
