About the position

Moorings Park is seeking a dedicated VIP Personal Assistant to provide personal support and home management services under the guidance of the Clinical Supervisor. This role is essential in ensuring that our clients receive the highest level of personal assistance tailored to their unique needs. The VIP Personal Assistant will be responsible for a variety of tasks that enhance the quality of life for our clients, including managing their schedules, coordinating social engagements, and providing logistical support for travel and relocation. The position requires a proactive individual who can handle secretarial and clerical duties, such as organizing files, bills, and mail, as well as assisting with correspondence. The assistant will maintain the client's and their family's agendas, ensuring that all appointments and engagements are well-coordinated. This includes planning and monitoring social activities, celebrations, and hobbies, as well as providing support for sporting events. In addition to social coordination, the VIP Personal Assistant will manage travel arrangements, which involves researching travel options, booking accommodations, and assisting with packing and transportation logistics. The role also encompasses relocation support, where the assistant will liaise with moving companies, assist with downsizing, and help organize household items. Furthermore, the assistant will provide holiday planning assistance, including decorating, shopping, and gift-wrapping. The position demands a high level of confidentiality and professionalism, as the assistant will work with sensitive information and must comply with HIPAA regulations. The ideal candidate will also provide technology support, helping clients navigate web searches, emails, and communication tools, as well as offering pet care assistance when needed.

Responsibilities

  • Perform secretarial/clerical duties such as organizing files, bills, and mail, and assist with answering correspondence.
  • Maintain client's/family agendas.
  • Coordinate social engagements including monitoring activities & events, assisting with planning celebrations/holiday events, and arranging & participating in hobbies & sporting events.
  • Coordinate travel plans by researching and completing travel bookings, assisting with packing/coordinating luggage, coordinating check-in and transportation to and from the airport, and guiding through security check points if needed.
  • Coordinate relocation and moves through contacting moving companies, downsizing and home staging, meeting with movers, handling donations, packing, cleaning and sorting through household items, communicating with family members at a distance, and shipping items to various geographical locations if needed, unpacking/organizing, and offering limited design assistance.
  • Provide assistance with holiday planning, including decorating, shopping, wrapping and shipping gifts, as well as planning holiday events.
  • Provide computer & technology support by assisting with web/internet searches, email & communication, cell phones & research.
  • Provide pet care assistance.
  • Work with confidential data, promoting client confidentiality and rights, and comply with all HIPAA regulations and standards.

Requirements

  • Excellent oral and written communication skills in the English language required.
  • High school diploma or equivalent.
  • A current Florida driver's license, clean driving record, and proof of insurance are required.
  • Reliable transportation required to and from work, with the possibility of using own vehicle to travel to client's homes off campus.
  • Previous experience as a Concierge, Personal Assistant, or House Manager preferred.
