About the position

The Virtual Assistant role at Entreprenista is designed for a detail-oriented and tech-savvy professional who will support various aspects of the business, including administrative tasks, event coordination, and community management. This position offers the opportunity to work in a dynamic, women-led environment, contributing to the growth and success of a community dedicated to empowering women entrepreneurs.

Responsibilities

  • Maintain back-end systems and member records across multiple platforms
  • Perform data entry tasks related to weekly and/or monthly metrics reporting
  • Compile data reports from various systems and cross-check data
  • Support the maintenance of data and task/project trackers
  • Organize files and manage documents
  • Utilize AI technology to streamline and optimize processes
  • Assist the community manager with coordination and execution of community events
  • Manage event-related tasks using ClickUp and other project management tools
  • Join Zoom events to assist with back-of-house tasks
  • Create content and promotional materials using Canva templates
  • Deploy event recap emails and upload recordings to the member platform
  • Schedule and post content in the private community platform
  • Assist in building mass email communications in Klaviyo
  • Monitor in-bound member communication channels and assist with customer service responses
  • Place orders for swag rewards for ambassador program members
  • Conduct research and information gathering as needed
  • Support day-to-day membership and community management tasks

Requirements

  • 1+ years of experience working as a virtual or executive assistant
  • Strong organizational skills and keen attention to detail
  • Experience in a fast-paced, dynamic environment
  • Above-average verbal and written communication skills
  • Self-motivated and proactive team player
  • Process and data-oriented with the ability to identify inefficiencies
  • Proficiency in G-Suite, especially Google Sheets
  • Familiarity with platforms such as Canva, Zoom, Circle, Klaviyo, Typeform
  • Experience with CRM/CMS platforms is a plus
  • Experience with AI technology is a plus
