About the position

The Virtual Assistant at RADIX Construction, Inc. is responsible for providing comprehensive administrative support to the team. This role involves multitasking across various tasks, including managing calendars, responding to emails, conducting research, and preparing documents. The ideal candidate is organized, detail-oriented, and proactive, capable of handling a wide range of responsibilities with minimal oversight.

Responsibilities

  • Manage calendars, schedule meetings, set reminders, and organize travel arrangements for executives and team members as needed.
  • Act as the point of contact for email correspondence, fielding inquiries and responding on behalf of the company when appropriate.
  • Maintain and update digital records, databases, and project files, ensuring that documents and records are well-organized and accessible.
  • Prepare reports, presentations, and other documentation as requested, drafting emails, letters, and other communications with clarity and professionalism.
  • Conduct research on various topics, compile data, and present findings to support decision-making.
  • Assist with project management by tracking progress, updating team members on deadlines, and ensuring tasks are completed on time.
  • Respond to customer inquiries, provide information, and address any issues to maintain positive customer relationships.
  • Manage and schedule social media posts, respond to comments, and engage with followers as required by the company.
  • Assist with generating, sending, and tracking invoices, ensuring timely payment follow-ups if needed.
  • Organize and maintain cloud-based files and folders, ensuring everything is structured and easy to access.

Requirements

  • Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
  • Strong organizational skills and the ability to manage multiple tasks with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in tools such as Microsoft Office (Word, Excel, PowerPoint) and/or Google Workspace (Docs, Sheets, Slides).
  • Familiarity with communication and project management tools (e.g., Slack, Zoom, Asana, Trello) and virtual file storage systems (e.g., Google Drive, Dropbox).
  • Ability to work independently, manage time effectively, and prioritize tasks.
  • Strong internet connection and a suitable workspace for remote work.

Nice-to-haves

  • Experience with bookkeeping software (e.g., QuickBooks, FreshBooks) or CRM tools (e.g., Salesforce, HubSpot).
  • Basic knowledge of social media platforms and management tools (e.g., Hootsuite, Buffer).
  • Experience with simple graphic design tasks using tools like Canva.
  • Customer service experience.
