About the position

The Virtual Executive Assistant at Delegate Solutions plays a crucial role in driving the success of client accounts by managing project plans and workflows. This position is focused on alleviating client pain points, allowing them to concentrate on their core business activities. The role requires proactive planning, accountability, and the ability to identify trends and opportunities for delegation and automation to enhance efficiency.

Responsibilities

  • Ensures account success, retention, and satisfaction, growing the client lifespan.
  • Manages multiple accounts throughout the day.
  • Oversees all Project Management, Process, and System Design for accounts.
  • Customizes, develops, and manages project plans, processes, and systems around client priorities and goals.
  • Monitors progress of project plans, processes, and systems from start to finish.
  • Ensures designed service is delivered on time.
  • Forecasts potential project barriers and initiates proactive solutions to overcome them.
  • Identifies delegation and automation strategies to free up team and client's time.
  • Responsible for Action Plan progression and overall accountability.
  • Keeps the client focused and organized on key business initiatives and goals.
  • Hosts and facilitates Weekly Accountability Calls (with both the client and Implementer).
  • Implements and uses delegation tools when applicable.
  • Hosts and facilitates weekly Tandem Planning Calls with account partner.
  • Reviews and updates client files and processes regularly.
  • Directs the Implementer in the development of SOPs.
  • Promotes collaboration with the Implementer to achieve goals and deliverables during busy periods.
  • Monitors client time/usage availability during business hours via Slack/phone/Zoom.
  • Checks on each account (including inbox/Asana/Slack and project work) 2x a day.
  • Helps nurture and develop new team members via shadowing and mentorship.
  • Represents the Delegate's brand and core values in every interaction.

Requirements

  • Project planning and process design experience.
  • Strong work ethic and enthusiasm for supporting growing business owners.
  • Exceptional communication skills, both verbal and written.
  • Strong technical background and experience managing relationships.
  • Ability to manage multiple accounts, timelines, and projects effectively.
  • Proficient in G-Suite and other technology tools.
  • Strong organizational and planning skills.
  • Experience in customer service and delegation.
