About the position

The Visiting Project Manager for the EMSC Program at the University of Illinois will play a crucial role in supporting the Illinois Department of Public Health by managing the Emergency Medical Services for Children (EMSC) program. This position involves developing frameworks and documentation for a pediatric recognition program for EMS agencies, ensuring compliance with federal performance measures, and maintaining essential databases. The role requires collaboration with various stakeholders and participation in committee meetings to enhance public health outcomes across Illinois.

Responsibilities

  • Participate in the EMSC Pediatric Prehospital Committee meetings and facilitate prehospital recognition discussions.
  • Collaborate with EMSC Pediatric Prehospital Committee Co-chairs to prepare meeting agendas, minutes, and handouts.
  • Assign responsibilities, monitor and report on the progress of projects, and prepare reports for leadership regarding the status of the project.
  • Ensure the components of the Prehospital Pediatric Recognition Program meet federal performance measures and minimum criteria.
  • Draft a variety of documents essential for the Prehospital Pediatric Recognition Program including an application for recognition, agency and surveyor checklists, agency and surveyor guidelines, and educational documents for EMS stakeholders and EMS agencies.
  • Provide quarterly updates on the Prehospital Pediatric Recognition Program at the EMSC Advisory Board meetings.
  • Update components of the EMSC Smartsheet databases to ensure information remains current.
  • Assist stakeholders to ensure overall project needs and objectives are understood and executed.
  • Answer budget-related questions.
  • Support additional EMSC program activities, as appropriate.

Requirements

  • Bachelor's degree in healthcare, nursing, emergency management, public health, science, project management, business management, or related field.
  • A minimum of 2 years of experience as a project coordinator, educator, or in a leadership role.
  • Experience in an emergency and/or pre-hospital setting.
  • Experience facilitating meetings, developing meeting agendas, and taking minutes.
  • Experience collaborating with multiple organizations to gain consensus on project activities and to draft documents.

Nice-to-haves

  • Five years of experience in an emergency and/or pre-hospital setting.
  • Experience in public health.
  • Experience developing various project-related documents, including but not limited to an application packet, checklists, instructional materials, recognition materials, and tracking database.
  • Project management, organizational, and committee skills to ensure timelines are met.
  • Ability to work with an already established committee to obtain consensus on the process and various drafted documents.
  • Experience with web-based meeting systems (e.g., WebEx).
  • Experience utilizing Smartsheets web application.
  • Organizational skills demonstrating high attention to detail and the ability to organize multiple priorities.
  • Strong written and oral communication skills.
  • Ability to work in a hybrid environment.
  • Proficient computer skills and advanced knowledge of applicable computer systems, including Microsoft Office programs: Excel, Word, PowerPoint, Outlook, Teams, and Sharepoint.
  • Ability to work well independently as well as a part of a team.
  • Ability to work in a dynamic fast-paced environment.
