About the position

The Warehouse Manager at Arkansas State University (A-State) plays a crucial role in overseeing the daily operations of the Central Receiving and Warehouse department. This position is responsible for ensuring that the staff has the necessary resources to perform their duties effectively and efficiently while maintaining a clean and organized work environment. The Warehouse Manager will supervise the receipt and shipment of freight and parcels, ensuring that all inventory purchase orders are accurately processed in the university's systems, including Banner and FAMIS. This role also involves maintaining the integrity of warehousing processes and asset inventory, as well as optimizing inventory levels by depleting obsolete items and replenishing stock as needed. In addition to supervising daily operations, the Warehouse Manager will be responsible for approving staff work order time and timesheets, conducting yearly inventory audits, and engaging with skilled trades to update or add inventory items. The position requires proactive communication with vendors to secure the best pricing for inventory replenishment and to manage purchase orders effectively. The Warehouse Manager will also be tasked with ensuring compliance with OSHA regulations and managing a P-card for warehouse purchases. This role is essential for maintaining the operational efficiency of the university's facilities management services and requires a strong commitment to customer service and process improvement. The Warehouse Manager will work Monday through Friday, with hours from 7:30 am to 4:30 pm, although adjustments may be made to accommodate customer needs. Additional hours may be required as necessary, and regular attendance is expected. This position is considered essential personnel within the Facilities Management department, highlighting its importance to the university's operations.

Responsibilities

  • Supervise the daily operations of Central Receiving and Warehouse
  • Ensure staff have resources to do their job effectively and efficiently
  • Ensure staff performs at minimum expectations
  • Ensure work areas are clean
  • Approve staff Work Order time in FAMIS (daily) and time sheets in Time Tracker (weekly)
  • Ensure accounting integrity of warehousing processes and asset inventory (as needed)
  • Supervise outbound shipment of freight and parcels (daily)
  • Supervise inbound freight and parcels and delivery to campus locations (daily)
  • Supervise receipt of all inventory purchase orders into Banner & FAMIS (daily)
  • Check out parts as needed in FAMIS
  • Supervise the restocking of inventory (as needed)
  • Contact vendors for the lowest pricing to replenish any stock that may be low or out
  • Contact vendors for new POs & check on old purchase orders with back-ordered parts (daily)
  • Maintain part records in FAMIS for accuracy (as needed)
  • Optimize inventory and deplete obsolete items (as needed & required annually)
  • Resolve customer issues (as needed)
  • Proactively seek customer feedback on process and service improvement
  • Perform yearly inventory audit for accuracy to prepare for state Audit (yearly)
  • Perform daily counts (time permitting)
  • Engage Skilled Trades to update or add any existing inventory items (weekly)
  • Explore new ways or supplies that will assist staff in making their job easier and more efficient (daily)
  • Assist in delivering freight and parcels (as needed)
  • Assist in tracking of lost freight and parcels for customers (as needed)
  • Monitor inventory in the ASU Warehouse
  • Order Warehouse Inventory when inventory gets low (Monthly)
  • Enter all Filters that come into the Warehouse (monthly) and make sure the filters have the correct pricing
  • Ensure the Warehouse follows OSHA regulations
  • Manage a P-card for warehouse purchases and reconcile statements
  • Pull shopping carts for Custodial when needed
  • Order shirts, jackets, and pants from Cintas for FM maintenance employees and project employees
  • Order propane gas for the forklift and store it properly in the outside propane cage
  • Pay Airgas cylinder rental invoices for Warehouse and projects
  • Keep up with all the Refrigerant 404A, 409A, R134, R410A, 427A, and 407C that are used at different buildings on campus
  • Interview and hire Warehouse and Central Receiving personnel through TALEO
  • Pay FedEx invoices online and charge to the work order making sure billing is correct
  • Other duties as assigned

Requirements

  • Bachelor's degree in Business, Accounting, or Management preferred
  • Two (2) years of experience in a warehouse, inventory control, or logistics - shipping and receiving products or goods with one (1) year in a supervisory capacity
  • Preferred to possess a valid Drivers License
  • Other job-related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
