The Warehouse Operations Coordinator position is essential to the daily operations of the Water System within the Water Protection Division. This role is responsible for coordinating data and reporting related to inventory and asset management across four water reclamation facilities. The coordinator will monitor warehouse operations and manage software related to these activities. The primary purpose of this classification is to provide lead guidance, training, and direction to assigned staff while coordinating, prioritizing, assigning, tracking, and processing work requests. Additionally, the coordinator will provide routine administrative support for the assigned department. In this role, the coordinator will lead and coordinate daily work activities of assigned co-workers, conferring with supervisors to obtain direction regarding work assignments and priorities. The coordinator will organize tasks to ensure the completion of assigned work, monitor the status of work in progress, and inspect completed work. They will assist with complex or problematic situations, provide technical expertise, and help train co-workers on operational procedures and proper equipment usage. The coordinator will also assist in supervising co-workers by reporting employee issues and providing input on disciplinary actions and performance evaluations. The coordinator will receive and process work order requests, prioritizing and assigning them according to unit policies and procedures. Utilizing a computerized work order system, they will enter work orders and ensure all relevant information is recorded. The coordinator will track work orders in progress, maintain records of outstanding work orders, and investigate any outstanding requests to determine the reasons for delays. They will also review technician entries to update the work order system and ensure effective coordination of work orders from both intra- and inter-departmental perspectives. In addition to these responsibilities, the coordinator will perform various administrative duties to support unit functions, such as answering phones, processing unit mail, copying materials, and handling invoices in financial software. They will enter data into computer systems, log and track department activities, compile data for reports, and maintain hardcopy records. The coordinator will provide management with reports regarding historical work order information to identify problem locations and recurring issues. Other related duties may be assigned as necessary.
