About the position

The Warehouse Operations Coordinator for the Water Protection Division plays a crucial role in the daily operations of the Water System. This position is responsible for coordinating data and reporting related to inventory and asset management across four water reclamation facilities. The coordinator will monitor warehouse operations, manage software related to these activities, and provide lead guidance, training, and direction to assigned staff. The primary purpose of this role is to ensure efficient workflow by coordinating, prioritizing, assigning, tracking, and processing work requests while also providing routine administrative support for the department. In this role, the coordinator will lead and coordinate daily work activities of assigned co-workers, conferring with supervisors to obtain direction regarding work assignments and priorities. They will organize tasks to complete assigned work, monitor the status of work in progress, and inspect completed work. The coordinator will assist with complex or problematic situations, provide technical expertise, and help train co-workers on operational procedures and proper equipment usage. Additionally, they will assist in supervising co-workers by reporting employee issues and providing input on disciplinary actions and performance evaluations. The coordinator will also be responsible for receiving and processing work order requests, prioritizing and assigning these requests according to unit policies and procedures. They will utilize a computerized work order system to enter and track work orders, ensuring all relevant information is recorded. The role involves maintaining records of outstanding work orders, investigating their status, and providing technical support to technicians as needed. Furthermore, the coordinator will perform various administrative duties, including answering phones, processing unit mail, and managing invoices in financial software. They will compile data for department reports and ensure compliance with local, state, and federal regulations. Overall, this position is essential for maintaining the efficiency and effectiveness of the Water Protection Division's operations.

Responsibilities

  • Lead and coordinate daily work activities of assigned co-workers.
  • Confer with supervisor to obtain direction regarding work assignments and priorities.
  • Organize tasks to complete assigned work and monitor status of work in progress.
  • Inspect completed work and assist with complex/problem situations.
  • Provide technical expertise and assist with training co-workers on operational procedures.
  • Assist with supervision of co-workers by reporting employee problems and providing input on disciplinary actions.
  • Receive and process work order requests; prioritize and assign work orders according to unit policy.
  • Utilize computerized work order system to enter and track work orders.
  • Ensure all appropriate information is recorded regarding each work order.
  • Retrieve technical information into computer to update requests and process work orders.
  • Perform tracking of work orders in progress and maintain records of outstanding work orders.
  • Investigate outstanding work orders to determine and record reasons for delays.
  • Review technician entries for updating the work order system.
  • Ensure effective coordination of work orders from both intra- and inter-departmental perspectives.
  • Provide technical support to technicians in researching and interpreting manuals.
  • Respond to inquiries concerning status of received work orders and follow up with customers for satisfaction.
  • Perform a wide variety of administrative duties in supporting unit functions.
  • Enter data into computer systems and maintain records regarding department activities.
  • Compile data for further processing or for use in preparation of department reports.
  • Provide reports to management regarding historical work order information.

Requirements

  • High School Diploma or GED required.
  • Three years of experience in assigning and tracking work requests, administrative or clerical support, or related field.
