About the position

The Warehouse Operations Coordinator at Global Experience Specialists, Inc. is responsible for supporting the Operations Department in both warehouse and show site activities. This role focuses on key administrative tasks related to Tradeshow Production, Freight, Electrical, and Safety support, ensuring smooth operations and compliance with union regulations.

Responsibilities

  • Providing in-house administrative support for warehouse operations
  • Reviewing, organizing and submitting Union Payroll to GES Payroll Processing Department in Las Vegas by posted deadlines
  • Auditing timekeeping entries and reports for accuracy
  • Creating Dispatch requests to local union halls
  • Facilitating Union New Hire Orientation process
  • Assisting Payroll Department & Union laborer with payroll claims
  • Submitting timely and accurate labor tracking data for management review and forecasting
  • Maintaining attendance tracking based upon Collective Bargaining Agreement guidelines for multiple unions
  • Documenting monthly Safety Committee initiatives and submitting inspection reports
  • Updating client property shipments in company tracking system
  • Maintaining inventory spreadsheets for allocated resources
  • Performing all duties with the utmost integrity avoiding any conflict of interest
  • Performing other duties as assigned and deemed necessary of the position under the direction of Management

Requirements

  • High school diploma or GED
  • Valid Driver's License
  • Excellent organizational and communication skills
  • Proven verbal and written communication skills
  • Detail-oriented
  • Ability to effectively manage multiple projects
  • Must be able to work standard warehouse hours; 6:00 am-2:30pm

Nice-to-haves

  • College graduate preferred
  • Experience with union payroll or administration preferred but not mandatory
  • Knowledge of Tradeshow industry preferred but not mandatory
