About the position

As a Warranty Admin at Lithia & Driveway, you will play a crucial role in ensuring that warranty repair orders are prepared accurately and in compliance with the manufacturers' warranty policies and procedures. This hybrid position requires you to be detail-oriented and efficient, as you will be responsible for entering applicable labor operation codes, failure codes, and other necessary administrative data on repair orders. Your ability to communicate effectively with technicians and department management will be essential, especially when it comes to booking the appropriate technicians for the hours earned on operations performed. You will also need to monitor and check each repair order against the vehicle's service history to prevent processing duplicate claims or submitting claims for shop comebacks. In addition to preparing warranty repair orders, you will review and process all returned, rejected, or adjusted warranty claims, tracking each claim until its final resolution. This will involve contacting warranty claims representatives for any claims that require additional authorization or special assistance. You will also be responsible for monitoring the use of special warranty programs to ensure that they are not being abused by the service sales or technical staff. Your role is vital in helping the dealership maintain its commitment to delivering honest value and exceptional results to customers, ensuring they drive away with a smile on their face.

Responsibilities

  • Prepare warranty repair orders with accuracy, legibility, and compliance to the manufacturers warranty policies and procedures.
  • Determine and enter the applicable labor operation codes, failure codes, and/or other required administrative data on the repair orders.
  • Book the appropriate technicians for the hours earned on the operations performed.
  • Check each repair order against the vehicles' service history to avoid processing duplicate claims or submitting claims for shop comebacks.
  • Review and process all returned/rejected/adjusted warranty claims, tracking each claim until its final resolution.
  • Contact the appropriate warranty claims representative regarding any claims requiring additional authorization or special assistance.
  • Monitor the use of special warranty programs for diagnosis time, straight time repairs, etc. for abuse by the service sales and/or technical staff.

Requirements

  • Strong communication skills to effectively interact with others.
  • Typing skills to efficiently enter accurate information into the tracking system.
  • Basic computer skills to navigate necessary software and systems.
  • Must be 18 years of age or older.
  • Must have a valid driver's license and a good driving record.
