About the position

The Customer Services Division of the Water Services Department (WSD) is seeking an Administrative Aide to provide advanced administrative support, requiring independent decision-making and a thorough knowledge of WSD terminology, procedures, and practices.

Responsibilities

  • Reviewing documents for completeness and accuracy.
  • Composing and responding to a variety of correspondence.
  • Interpreting and making decisions in accordance with policies and laws.
  • Updating computer databases or other systems.
  • Running reports, comparing data, and auditing records.
  • Providing customer service and responding to issues or complaints.
  • Scheduling meetings or events.
  • Providing general administrative support such as typing, phones, and filing.
  • Using various office software such as Word, Excel, and Outlook.

Requirements

  • Four years of experience performing clerical duties.
  • OR Bachelor's degree in public or business administration or a related field.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

Nice-to-haves

  • Experience with SAP.
  • Experience with CONCUR.
  • Experience with Adobe Acrobat.
  • Experience with VISIO Software.
  • Experience in procurement and payment reconciling.
  • Experience in internal or external customer service.
  • Experience managing difficult customer service situations.
  • Experience in scheduling and calendaring (ex. Kronos, Telestaff, Outlook, etc.).
  • Proficient in Microsoft Office, including Word, Outlook, and Excel.
