About the position

The Project Administrator at Webber, LLC plays a crucial role in providing administrative, financial, and procurement support for infrastructure management projects. This position is responsible for overseeing the new hire process, maintaining employee records, and ensuring efficient project administration through various administrative tasks. The role requires strong organizational skills and the ability to manage multiple responsibilities in a fast-paced environment.

Responsibilities

  • Responsible for new hire process including paperwork, payroll setup, and benefit enrollment maintenance.
  • Coordinate and conduct new employee orientation, ensuring all necessary paperwork is accurate and completed.
  • Process all employee actions including transfers, vacations, promotions, merit increases, bonuses, pay adjustments, and terminations.
  • Administer project operations by answering calls, greeting visitors, and distributing mail.
  • Schedule and coordinate meetings, conferences, and travel as requested.
  • Prepare monthly reports including client-required reports, overtime, payroll, and SAP reports.
  • Key payroll hours and work activities for project employees in a timely manner.
  • Maintain confidential employee files and project filing including training and license records and vendor insurance certifications.
  • Manage purchasing supplies, maintaining equipment, rental and vendor contracts, and client deliverables.
  • Administer accounts payable and receivable including reconciliation, verification, and distribution.
  • Assist in the administration of fleet management system including data entry and invoice review.
  • Manage inquiries and dispatch employees to accidents, repairs, or other client/public concerns.

Requirements

  • High School Diploma or GED (Required)
  • Minimum 3 to 5 years' experience in office administration/customer relations (Required)
  • Excellent knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook (Required)
  • Driver's License with a good driving record (Required)
  • Strong organizational, administrative, interpersonal, verbal, and written communication skills.
  • Ability to work flexibly and meet business needs with minimal supervision.
  • High level of attention to detail, initiative, problem-solving, and personal organizational skills.

Nice-to-haves

  • SAP experience strongly preferred.
