About the position

The Omni William Penn Hotel, a historic and elegant establishment in downtown Pittsburgh, is seeking a Catering Services Manager to join its team. This role is pivotal in ensuring the seamless execution of events, from weddings to corporate gatherings, in a hotel that has been a cornerstone of the city since 1916. The hotel has undergone a significant multi-million dollar renovation, enhancing its luxurious offerings and ensuring that it continues to provide outstanding service and accommodations to its guests. As a Catering Services Manager, you will be responsible for communicating event details to both operating departments and customers, ensuring that all aspects of the event are meticulously planned and executed. This includes coordinating menu tastings, participating in site inspections, and effectively utilizing hotel software systems to manage event details and communication. In this role, you will also coordinate essential activities related to producing successful events, such as menu planning, room setups, audio-visual needs, and parking arrangements. Achieving revenue and Medallia goals set by the Director of Catering and Convention Services is a key responsibility, along with understanding the hotel’s capabilities and those of competitive hotels. You will be expected to merchandise function space effectively, refine product offerings, and actively participate in industry-related activities. The position requires a proactive approach to achieving budgeted catering revenue goals and providing support and direction to administrative staff. Regular attendance and compliance with hotel rules and regulations are essential for success in this role, as is participation in ongoing training and meetings.

Responsibilities

  • Communicate event details to operating departments and customers in a timely and thorough manner following established procedures.
  • Coordinate menu tastings with customers adhering to established procedures.
  • Participate in site inspections to assist Catering Sales Managers in the selling process.
  • Effectively utilize existing hotel software systems to manage time, event details, and for communication.
  • Coordinate menus, room setups, audio-visual needs, parking, and other essential activities related to producing a successful event.
  • Achieve all revenue and Medallia goals as assigned by the Director of Catering and Convention Services.
  • Knowledgeable about all hotel (and competitive set hotels) capabilities (front desk/reservations/room service/catering).
  • Merchandise function space and attain maximum room rental wherever appropriate.
  • Understand and follow all guidelines relating to catering merchandising, space release and 'free sell' opportunities.
  • Continuously refine product/concept offering.
  • Active involvement in industry-related activities.
  • Achieve budgeted catering (food, beverage, and room rental) revenue goals.
  • Provide support and direction to administrative staff.

Requirements

  • Regular attendance in conformance with the standards is essential to the successful performance of this position.
  • Ability to work varying schedules to reflect the business needs of the hotel due to the cyclical nature of the hospitality industry.
  • Attendance at all scheduled training sessions and meetings is required.
  • Must comply with Omni rules and regulations for the safe and effective operation of the hotel's facilities.
  • Develop and implement individual Quarterly and annual Action Plans (KRA's).
  • Submit required reports on a timely basis.
  • Maintain all accounts with current trace dates, accurate histories and all relevant information regarding activity.
  • Participate in the ongoing forecasting process.
  • Be current and abide by all sales office procedures and systems.
  • Actively participate in sales and catering meetings.
  • Promote a high-quality company image by demonstrating professionalism to both clients and colleagues.
