About the position

The Wedding & Special Events Manager at The Lodge & Club Ponte Vedra Beach is responsible for planning and executing weddings and special events, ensuring that every detail meets the high standards of luxury hospitality. This role requires a detail-oriented professional who can manage multiple aspects of event coordination while providing exceptional service to clients and guests.

Responsibilities

  • Oversee all aspects of weddings and special events booked by the Sales Department.
  • Ensure adherence to sales agreements and guide clients through the planning process.
  • Finalize event requirements, maximizing revenue through upselling.
  • Serve as a liaison between clients and hotel departments, maintaining an active trace system for event coordination.
  • Verify the accuracy of banquet bills and conduct bill reviews upon event completion.
  • Supervise the execution of banquet events, ensuring client satisfaction.
  • Plan, attend, and participate in meetings with hotel staff and clients for seamless event execution.
  • Uphold the highest standards of service and professionalism, fostering positive relationships with colleagues and clients.
  • Address challenges and unexpected issues promptly, balancing client needs with hotel goals.
  • Keep the Director of Catering & Conference Services informed of operational matters that require attention.
  • Maintain a deep understanding of the hotel's facilities and operational requirements of all departments.
  • Effectively communicate operational information to other hotel departments.
  • Assist with various administrative tasks, including daily and weekly reports, event planning, and inquiries as needed.

Requirements

  • Four-year college degree in Hotel Management, Business, or Marketing, or 2 years prior experience in Catering & Conference Services.
  • Demonstrated experience in event planning and coordination, preferably in the luxury hospitality industry.
  • Exceptional organizational skills with a keen eye for detail.
  • Strong interpersonal and communication skills.
  • Creativity and ability to think outside the box.
  • Proficiency in event planning software (Amadeus/Delphi).
  • A valid Driver's License.
