About the position

The Medical Receptionist position at Avon and West Hartford Acupuncture is a part-time role focused on providing exceptional administrative support in a holistic medical setting. The ideal candidate will ensure smooth patient flow, assist with scheduling, and maintain patient records while delivering excellent customer service. This role requires working every weekend with opportunities for additional shifts and professional growth.

Responsibilities

• Warmly greeting and checking in patients and alerting providers.
• Answering the phone and providing general information on acupuncture and the practice.
• Checking and responding to emails in a timely manner.
• Using the software program to schedule patients while following scheduling protocols.
• Assisting providers in staying on time and being prepared for patients as needed.
• Scheduling patient appointments and maintaining accurate patient records.
• Verifying insurance information and assisting with billing inquiries.
• Utilizing the JANE electronic health record system.
• Maintaining confidentiality and adhering to HIPAA regulations.
• Assisting with medical administrative tasks as needed.
• Assisting with superbills/itemized receipts for patients.
• Light cleaning of common areas or treatment rooms.
• Assisting with ordering and stocking supplies.
• Explaining copays, coinsurance, deductibles, and OOP Max.
• Mailing/faxing claims and charts to law offices and insurers.
• Assisting the owner with office errands as needed.

Requirements

• Proven experience as a Medical Receptionist or in a similar role.
• Familiarity and willingness to train on Mac computer with JANE EHR software.
• Strong administrative skills with attention to detail.
• Ability to work in a fast-paced environment, prioritize tasks, and multitask effectively.
• Excellent communication and interpersonal skills.
• Must be able to schedule patients among 7 clinicians.
