About the position

The Welcome Coordinator at Oak Street Health plays a crucial role in creating an inclusive and welcoming environment for patients and guests. This position is essential for making a positive first and last impression, ensuring that every individual who walks through the clinic doors feels valued and cared for. Welcome Coordinators are the face of the clinic, responsible for maintaining efficient center operations while supporting the broader team in delivering an unmatched patient experience. They perform a variety of administrative tasks, including scheduling patient appointments, managing phone communications, and handling administrative duties such as fax and mail distribution. The role requires a friendly demeanor and a high degree of flexibility to adapt to the dynamic needs of the clinic and its patients. As part of the Service Team, Welcome Coordinators report directly to the Practice Manager. The primary focus of this team is to create a seamless experience for patients and community members. Welcome Coordinators are tasked with providing high-touch assistance to patients and guests, ensuring that their needs are met with care and professionalism. This includes welcoming patients, conducting visit check-ins, assisting with required forms, collecting co-pays, updating patient information in the electronic medical records system, and managing phone lines effectively. They also maintain the cleanliness of the Welcome and Community Room areas and may occasionally float to other centers in the region as needed. Other duties may be assigned as necessary to support the clinic's operations.

Responsibilities

  • Welcoming patients and guests
  • Conducting visit check-in and assisting patients with required forms
  • Collecting co-pays
  • Updating patient information and making changes in electronic medical record platform
  • Scheduling/rescheduling appointments within electronic medical records platform
  • Managing phone lines by answering, taking messages, and conducting outbound calls as instructed
  • Managing faxes in the electronic fax platform
  • Maintaining the cleanliness of the Welcome and Community Room areas
  • May be required to float to other centers in the region on an infrequent basis
  • Other duties as assigned

Requirements

  • Strong computer skills required and basic knowledge of Google Suite
  • Professional phone etiquette
  • Fluency in Spanish, Polish, Russian, or other languages spoken by people in the communities we serve (where necessary)
  • US work authorization

  • Experience in customer service setting strongly preferred
