About the position

We are seeking a highly organized and detail-oriented Window and Door Order Processor/Coordinator to join our dynamic team. In this role, you will be responsible for managing the entire order process for windows and doors, ensuring accuracy from order placement to delivery. You will work closely with sales representatives, customers, vendors, and production teams to coordinate orders, track inventory, and handle customer inquiries.

Responsibilities

  • Accurately process and input window and door orders into the system.
  • Review customer specifications and ensure all details are correctly entered.
  • Coordinate with vendors and manufacturers to confirm product availability, delivery times, and pricing.
  • Serve as the main point of contact for customers regarding order status, product information, and delivery schedules.
  • Handle customer inquiries, resolve issues, and ensure satisfaction throughout the order lifecycle.
  • Provide updates to customers on any changes to orders or delays.
  • Communicate with suppliers and manufacturers to confirm product specifications and delivery timelines.
  • Manage and track orders from placement to fulfillment, ensuring timely deliveries.
  • Work with suppliers on pricing, lead times, and order accuracy.
  • Monitor inventory levels for window and door products.
  • Assist in managing stock levels to meet demand, and coordinate restocking when necessary.
  • Ensure products are available and ready for shipment according to order schedules.
  • Maintain accurate records of orders, invoices, and communications.
  • Prepare regular reports on order status, delivery schedules, and inventory levels.
  • Ensure all necessary paperwork and documentation for orders is completed and filed appropriately.
  • Work closely with sales, production, and delivery teams to ensure smooth order flow.
  • Coordinate special order requests and ensure custom specifications are met.
  • Assist in identifying and resolving any issues that may arise during the order process.

Requirements

  • High school diploma or equivalent; additional education in business or related fields is a plus.
  • Previous experience in order processing, coordination, or customer service, ideally within the window and door industry or a similar field.
  • Experience working with manufacturers and suppliers is preferred.
  • Strong attention to detail and accuracy in data entry and order processing.
  • Excellent communication skills, both verbal and written.
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and order management systems (ERP or CRM software).
  • Problem-solving skills and a proactive approach to handling issues.
