About the position

The Winery Guest Relations and Administrative Specialist is a part-time role focused on providing exceptional customer service and administrative support in a dynamic winery environment. This position involves coordinating events, managing client communications, and assisting with the digitization of wine tasting experiences. The ideal candidate will be detail-oriented, technically savvy, and capable of working both remotely and on-site, contributing to the winery's growth and expansion efforts.

Responsibilities

  • Communicate with potential clients via phone and email to book appointments and explain the winery concept.
  • Plan, organize, and coordinate winery events, including wine tastings and bottling sessions.
  • Assist with the setup and execution of live virtual wine tastings, managing video software for seamless delivery.
  • Schedule and book events to maximize productivity and ensure smooth execution.
  • Assist customers during bottling experiences, including lifting wine kegs and cleaning equipment.
  • Use creative design platforms to help clients create customized wine labels.
  • Provide administrative support to the winemaker and owner, including task organization and calendar management.
  • Maintain client databases and handle administrative tasks such as data entry and inventory tracking.
  • Stay updated with technology trends to enhance digital initiatives, including live tastings and shipping logistics.
  • Support on-site activities during events, including setup and client interaction.

Requirements

  • Exceptional organizational skills and attention to detail for event planning.
  • Excellent communication skills, both written and verbal, with a friendly demeanor.
  • Proficiency in video software, Microsoft Office Suite, and creative design tools like Canva or Photoshop.
  • Basic knowledge of WordPress for website updates.
  • Experience with video conferencing tools and basic video editing skills.
  • Ability to learn and utilize new software and systems effectively.
  • Comfortable explaining the winery concept to potential clients.
  • Physically capable of performing lifting tasks, such as moving wine kegs.

Nice-to-haves

  • Prior experience in event planning, administration, or customer-facing roles.
  • Experience in customer relationship management.
