About the position

The Women's Ministry Program - Administrative Aide at The Salvation Army is a vital role that provides essential administrative support to the women's department. This position requires a strong commitment to the mission of The Salvation Army, which is to preach the gospel of Jesus Christ and meet human needs without discrimination. The Administrative Aide will be responsible for a variety of tasks that ensure the smooth operation of the women's ministry, including maintaining department files, coordinating meetings, and assisting with correspondence. The ideal candidate will possess excellent organizational skills, be detail-oriented, and have the ability to manage multiple priorities effectively. In this role, the Administrative Aide will serve as the coordinator for administrative duties within the department, ensuring that all clerical and administrative work aligns with The Salvation Army's policies. Responsibilities include preparing conference rooms for meetings, handling incoming calls, and managing correspondence. The Aide will also be involved in preparing reports, coordinating mass mailings, and interfacing with various officers and departments. Participation in special projects and assisting with seasonal activities and events is also expected. The role requires flexibility, as the Aide may need to work off-site and outside of regular hours for events and programs. The position demands a self-motivated individual who can work independently with minimal supervision while maintaining confidentiality and professionalism. A strong personal commitment to Christ and the ability to communicate effectively about Christianity is essential. The Aide will also be expected to assist in teaching Bible studies and devotionals, demonstrating a deep understanding of women's ministry and community corps ministry.

Responsibilities

  • Serve as coordinator for administrative duties in the department.
  • Ensure that the clerical and administrative work of the women's department conforms to The Salvation Army Policies.
  • Maintain department files, including mailing lists and rosters for the officers.
  • Assist the Divisional Women's Ministry Secretary, Women's Ministry Secretary, and Community Corps Ministry Secretary with correspondence as necessary and follow up as appropriate.
  • Make phone calls; coordinate calendars and schedule meetings.
  • Prepare conference rooms for in-person meetings, including technology set-up and clean-up.
  • Receive incoming telephone calls to the women's department; respond to phone inquiries and forward messages as appropriate.
  • Handle correspondence as needed for the department.
  • Prepare and process reports as assigned.
  • Coordinate receipt of reports from field officers/corps and prepare final reports to Territorial Headquarters.
  • Coordinate and prepare mass mailings and special custom mailings.
  • Interface with corps officers, Divisional Headquarters officers, staff, and Territorial Headquarters departments.
  • Participate in special projects.
  • Coordinate meetings.
  • Assist as requested in various programs and seasonal activities and events, including those held off-site and off-hours.
  • Help plan events.
  • Create newsletters, flyers, and other desktop publishing as requested.
  • Assist with registration for various events.
  • Order supplies and maintain equipment in the office.
  • Submit monthly reports to Territorial Headquarters (women's ministry/Community Corps Ministry Report).
  • Submit annual year-end report to Territorial Headquarters.
  • Assist with prison ministry for Community Corps Ministry Secretary.
  • Be knowledgeable about women's ministry/home league.
  • Be willing to teach Bible study and devotional for Women's Ministry or Corps Community Ministry.
  • Willing to travel and help Divisional Women's Ministry Secretary with Community Corps Ministry or Women's Ministry programming.

Requirements

  • Must be able to work with minimal supervision and maintain confidentiality of sensitive materials and information.
  • Must align with TSA's core values and mission statement, and possess a strong personal commitment to Christ.
  • Must possess excellent written and oral communication skills and be able to draft and edit professional-level communication.
  • Must be proficient in computer programs such as Microsoft Office, Excel, PowerPoint, Publisher, Outlook, and Word.
  • Must have organizational skills including multi-tasking, time management, and office systems (including maintaining files).
  • Must demonstrate good judgment and act in a professional manner.
  • Must be knowledgeable of The Salvation Army.
  • Must have the ability to speak and write in English.
  • Must be able to work with a team and with multiple supervisors.
  • High school diploma required, and some college preferred.
  • At least 2 years' administrative experience.
  • Must have a clean DMV and be able to meet fleet safety driving guidelines.

Nice-to-haves

  • Preference for a candidate who has creative abilities and prior experience with decorating large facilities and coordinating community events.
  • Preference for a candidate who has previous ministry experience of 1-3 years.
