About the position

AmTrust North America, Inc. is seeking a dedicated and detail-oriented Legal Clerk to join its Staff Counsel office in Boca Raton, FL. This full-time position is integral to supporting the Workers' Compensation litigation teams by managing various clerical and administrative tasks. The ideal candidate will be responsible for ensuring the smooth operation of the office by efficiently handling incoming and outgoing communications, maintaining organized records, and providing excellent support to the legal staff. In this role, the Legal Clerk will retrieve, open, index, date stamp, and scan incoming mail, ensuring that all correspondence is processed in a timely manner. The clerk will also monitor and distribute office faxes and manage the email mailbox communication, ensuring that all messages are appropriately handled. A key responsibility will be uploading digital files to the document management platform, including sensitive medical records, and downloading files received via CD or USB. The Legal Clerk will be tasked with distributing mail to the appropriate teams, both electronically and in hard copy, and processing outbound mail through USPS and FedEx. Additionally, the clerk will assemble and download designated documents onto CDs for distribution. Collaboration with staff, vendors, and visitors in a professional and courteous manner is essential, as is the ability to manage multiple priorities in a deadline-oriented environment. The position may also involve covering office phones and greeting guests or vendors as needed, along with maintaining office equipment and supplies.

Responsibilities

  • Retrieve, open, index, date stamp, and scan incoming mail
  • Monitor, distribute and upload office faxes and email mailbox communication
  • Upload digital files to document management platform including medical records
  • Download files received via CD/USB
  • Distribute mail to proper teams via email and hard copy distribution if necessary
  • Process outbound USPS / FedEx mail
  • Assemble and download designated documents to CDs for distribution
  • Collaborate with staff, vendors, visitors in a professional and courteous manner
  • Manage multiple priorities in a deadline-oriented setting
  • Cover office phones and greet guests/vendors as needed
  • Maintain office equipment (supplies, postage, service)

Requirements

  • High School Diploma or equivalent
  • Prior work-related experience
  • Ability to operate mailing, copy, and fax equipment
  • Ability to handle time-sensitive material
  • Ability to handle confidential information in a discreet manner
  • Proficiency with Microsoft Office Suite
  • Superior interpersonal skills and the ability to work in a fast-paced environment
  • Ability to work independently and multi-tasking is required
