About the position

The Workplace Experience Coordinator is responsible for delivering exceptional customer service to employees and guests at a designated building. This part-time role involves ensuring the workspace is ready for use, managing visitor access, coordinating office moves, and maintaining communication with various teams to support a positive workplace experience.

Responsibilities

  • Complete morning walkthroughs to ensure the space is ready for employees and visitors.
  • Report building issues such as plumbing, electrical, and maintenance needs to the CBRE Account Manager.
  • Enter visitor, repair, janitorial, and vendor access request tickets into the RFR management system.
  • Request Certificates of Insurance (COIs) for vendors and enter them into the RFR system.
  • Update floorplans to reflect new hires and terminations.
  • Support badging for new hires and visitors requiring access.
  • Coordinate and execute physical office moves, including furniture and equipment.
  • Share RFR/Building communications in real time with the Loxo East team.
  • Serve as fire safety deputy and attend emergency preparedness meetings.
  • Coordinate floor wardens and suite monitors for evacuation plans and update them yearly.
  • Act as the onsite contact for visitors and ensure they are added to the RFR system.
  • Coordinate and facilitate visitor spaces and conference room usage.
  • Support site meetings and events as needed.
  • Manage the employee Grubhub portal and team lunches.
  • Answer main telephone lines and direct calls appropriately.
  • Order and restock kitchen supplies and snacks weekly.
  • Maintain coffee machines and coordinate maintenance as needed.
  • Assist with ordering, setup, and cleanup of office lunches and dinners.
  • Send and receive packages via USPS, UPS, and FedEx, and manage mail distribution.
  • Maintain copy rooms and printers/copiers in coordination with the IT team.
  • Set up new employee offices and nameplates.

Requirements

  • High School Diploma or GED equivalent.
  • 2+ years of job-related experience.
  • Ability to follow basic work routines and standards.
  • Strong communication skills for exchanging straightforward information.
  • Working knowledge of Microsoft Office products, including Word, Excel, and Outlook.
  • Strong organizational skills with an inquisitive mindset.
