About the position

The Workplace Experience Coordinator is a hybrid role that combines responsibilities in facilities coordination, guest services, and office support. This position is essential for ensuring smooth day-to-day operations at the site, providing support to the facilities management team, and maintaining strong client relationships to meet service expectations.

Responsibilities

  • Maintain coverage for reception and perform escorting, badging, and shipping/receiving tasks as needed.
  • Partner with facility manager, third-party vendors, landlord, and engineering services to address maintenance and condition issues promptly.
  • Assist facility managers with Corrigo work order management and E1 purchase order creation as needed.
  • Support facility managers and accounting/finance with work order completion, vendor follow-up, and invoicing activities.
  • Provide information and direction to vendors, facilities staff, and service providers to ensure excellent coordination and execution of work.
  • Coordinate and assist with the service delivery of vendor-sourced amenities, including food services and office supplies.
  • Provide coordination and support for onsite meetings as needed.
  • Liaise with contracted janitorial provider to ensure cleanliness of office areas.
  • Schedule and escort vendors for recurring and reactive services.
  • Perform reception responsibilities, including greeting guests and directing phone calls.
  • Manage visitor management system and issue badges according to client security protocols.
  • Ensure timely inventory, ordering, and stocking of office/breakroom supplies.
  • Perform any other reasonable duties as requested by a manager or client.

Requirements

  • High School diploma, GED, or equivalent required.
  • 2+ years of related working customer service experience and property management preferred.
  • Friendly, customer service attitude & team player mindset.
  • Dependable, with excellent time management and organizational skills.
  • Ability to communicate effectively in both oral and written reports.
  • Proficient in Microsoft suite including Excel, Outlook, Word, Adobe Acrobat.
